IMPACT nv attaches great importance to the protection of your personal data and respects your privacy.

 

This privacy policy aims to provide clear and transparent information about what data we collect and how we handle personal data. We do everything possible to ensure your privacy, and we therefore treat your personal data carefully. IMPACT nv adheres to the laws and regulations in all cases, including the General Data Protection Regulation. 

 

This implies at a minimum that we:

  • process your personal data in accordance with the purpose for which it was provided; these purposes and type of personal data are described in this privacy policy;

  • limit the processing of your personal data to only those data that are minimally necessary for the purposes for which they are processed;

Personal data that we process and for what purpose

IMPACT nv processes your personal data when you use our services and/or because you or third parties provide these to us. Below you will find an overview of the personal data that we process:

  • Name of organisation

  • First and last name

  • Address information

  • VAT number

  • Telephone number

  • E-mail address

  • Location data

  • Financial information

  • Questionnaires and test results (see also IMPACT nv Assessments privacy policy)

  • CVs

  • Other personal data

 

IMPACT nv processes your personal data for the following purposes:

  • Handling your payment

  • Sending our newsletter and/or advertising brochure

  • To be able to call, Skype, deliver mail, send text messages, use Whatsapp or e-mail if this is necessary to be able to perform our services and administration

  • To inform you about changes to our services

  • To deliver services or administrative information (training, coaching, consulting, assessment, proposals, invoices, etc.) to you

  • To personalise our services

  • Commercial purposes (sales leads, marketing…)

Social media:

We do not (automated or otherwise) extract personal data within our systems from social media platforms. If you contact us via social media, we will take note of this and answer your question. The further handling of your question is via e-mail. The information and data that you share with us via social media falls is subject to the security and responsibility of that specific platform (e.g. Facebook, Linkedin…).

How long we keep personal data

IMPACT nv does not store your personal data for longer than is strictly necessary to achieve the purposes for which your data are collected. We use the following retention period: 10 years after last use (unless the law prescribes other periods).

 

Sharing of personal data with third parties

IMPACT nv will only share your personal data with third parties if this is necessary for the execution of the agreement and to comply with a possible legal obligation. We enter into a processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. IMPACT nv remains responsible for these processes. In addition, IMPACT nv provides your personal data to other third parties only with your explicit permission.

 

Cookies or similar technologies that we use

IMPACT nv does not use cookies or similar technologies.

View, modify or erase data

You have the right to access, rectify or erase your personal data. In addition, you have the right to withdraw your consent for data processing or to object to the processing of your personal data by IMPACT nv, and you have the right to data portability. This means that you can submit a request to us to send the personal data that we hold about you in a computer file to you or another organisation indicated by you. You can send a request for access, rectification, erasure, transfer of your personal data, or to request withdrawal of your consent or object to the processing of your personal data, to info@impact-nv.be. To ensure that the request for access is being made by you, we request that you send a copy of your proof of identity with the request. In this copy, be sure to black out your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), and passport number. This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks.

 

How we protect personal data

IMPACT nv takes the protection of your data seriously and takes appropriate measures to prevent abuse, loss, unauthorised access, unwanted disclosure and unauthorised changes. If you believe that your data is not properly protected or there are indications of abuse, please contact us at info@impact-nv.be.

 

We have taken appropriate technical and organisational measures to protect your personal data and to guarantee its confidentiality. These include measures that protect the data against breaches, loss and unlawful processing. For example, we have taken the following measures:

 

  • All who are able to access your data on behalf of IMPACT nv are obliged to maintain their confidentiality.

  • We use a user name and password policy on all our systems.

  • We pseudonymise/anonymise where possible/necessary.

  • We make back-ups of the personal data in order to be able to recover these in the case of physical or technical problems;

  • We regularly test and evaluate our measures;

  • Our staff have been informed of the importance of protecting personal data.

 

In the event of a data breach, we will report this to the Data Protection Authority (Privacy Commission), as well as to those involved, within 72 hours when there is a high risk of violating their privacy, security and other rights.

 

Your rights regarding your data

You are entitled to access to and a copy of the personal data that relates to you. You are entitled to correction and addition if your information is incorrect or incomplete. 

 

You can receive the personal data that you have provided and that we process in a structured, current and machine-readable format, so that you can pass it on to another controller or so that we can transfer it to another controller, if you request such and if such is technically feasible.

 

For the processing of personal data that we have obtained based on your consent, you can withdraw your consent at any time. The processing of these data before the withdrawal of consent remains valid.

 

Complaints

If you have a complaint about the processing of your personal data or about the exercise of your rights, we ask you to contact us directly about this.

You always have the right to file a complaint with the Data Protection Authority (Privacy Commission) – this is the supervisory authority in the area of privacy protection) – or to initiate legal proceedings.

Which personal data do we process and for what purpose

Your personal data is processed by IMPACT nv for the following purposes:

  • To check data for completeness and accuracy;

  • To assess your suitability for a specific position or assignment;

  • To allow you to participate in (online) testing offered by IMPACT nv, and to generate test results;

  • To promote and stimulate your personal development

  • To inform third parties about employment advice for a specific position and test results;

  • To use these and pass them on to the client

 

For the above purposes, we may request, process and save the following personal data relating to you:

  • Personal data: sex, name, first name, age, address, telephone number, e-mail address, motivation, driver’s license, residence permit, diplomas, other CV information.
     

We use the collected data only for the purposes for which we obtained the data from you.

 

With whom do we share your personal data?

The assessors and the client.

 

How do we protect your personal data?

IMPACT nv makes every effort to take organisational and technical measures to protect your personal data against unlawful processing and/or loss. Employees of IMPACT nv who have access to your personal data are bound by confidentiality.

 

The data are kept on 1 central computer, namely the computer of the Consultant Assistant, to which only she/he and the statutory manager have access. This computer is protected against unauthorised access by, for example, firewall protection and login requirements.

 

IMPACT nv accepts no liability whatsoever for any damage resulting from the use of the personal data by third parties to whom these data were provided on the basis of this privacy policy or with your consent.
